[edit] ISAD(G) to EAD Crosswalk

NOTE: This crosswalk was begun in early 2013, as Artefactual was reviewing the EAD profile for AtoM's import/export. Further changes have since been made in AtoM 2.x, while other issues are still under discussion for improvement. When the EAD profile is stable and as improved as it can be, we will update this crosswalk to reflect the final mapping - in its current form, some fields are out of date, as some issues outlined here have since been resolved.

[edit] 3.1 IDENTITY STATEMENT AREA

ISAD(G) ICA-AtoM Field(s) EAD (Tag Library Crosswalk) AtoM Export EAD (1.3) Comments
3.1.1 Identifier Identifier <eadid countrycode="" mainagencycode="">

<unitid countrycode="" repositorycode="">

<unitid repositorycode="" countrycode="" encodinganalog="3.1.1"> The encodinganalog attribute is defined by the EAD tag library as: "A field or element in another descriptive encoding system to which an EAD element or attribute is comparable. Mapping elements from one system to another may help build a single user interface that can index comparable information in bibliographic records and finding aids. The mapping designations may also help a repository harvest selected data from a finding aid to build a basic catalog record." AtoM uses this mapping throughout its tags to map specific tags back to the related ISAD(G) field.

repositorycode attribute is taken from ISO/DIS 15511 Information and documentation--International Standard Indentifier for Libraries and Related Organizations (ISIL) when a user links a description to an archival institution, and has input an identifier in the Identity Area of the archival institution’s authority record

countrycode attribute is taken from ISO 3166-1 Codes for the Representation of Names of Countries when a user links a description to an archival institution, and has selected a country from the supplied drop-down list in the Contact Area of the archival institution’s authority record. The encodinganalog attribute is defined by the EAD tag library as: "A field or element in another descriptive encoding system to which an EAD element or attribute is comparable.

3.1.3 Date(s) Date type [drop-down list: creation, accumulation] <unitdate> <unitdate datechar="" normal="" encoding analog="3.1.3> The datechar attribute may be either "creation" or "accumulation"
Date     AtoM offers uses the ability to enter a display date that allows for expressions of uncertainty (e.g., [194-?]) or approximation (e.g., [ca. 1945]) to end users, while dates are stored in AtoM in a format consistent with ISO 8061 (e.g., dd/mm/yyyy). In the AtoM export encoding, the display date is captured between the <unitdate> tags on output
Start (date) In AtoM's export, the normal attribute of the <unitdate> tag encodes the start and end date in accordance with ISO 8061 Data elements and interchange formats – Information interchange – Representation of dates and times
End Date
3.1.4 Level of description Level of description [drop-down list: collection, fonds, sub-fonds, series, sub-series, file, item] <archdesc level="">

The <archdesc> level attribute is used to define "fonds," “collection,” etc. at the highest level.

The <dsc> tag is defined as “A wrapper element that bundles information about the hierarchical groupings of the materials being described” and in which the “TYPE attribute value "combined" is used when the description of a series is followed immediately by a listing of the contents of that series” (EAD tag library, 2002). It is only used before the first child description of a fonds (such as the first series) in AtoM.

The <c> level attribute is used to define the level of the child description, e.g., “series,” “file,” etc.

3.1.5 Extent and medium Extent and medium <physdesc><extent>

<physdesc><dimensions>

<physdesc><genreform>

<physdesc><physfacet>

<physdesc><extent encodinganalog="3.1.5"> Currently, other available nested tags such as <dimensions>, <genreform>, and <physfacet> are not used in AtoM EAD on the ISAD(G) template. AtoM developers will be reviewing this and considering possible changes for AtoM 2.x+, to allow users to encode more granular information.

In the first two, the user is provided with an exhaustive pre-populated dropdown menu of languages/scripts to select from. Once language/script is chosen (can be multiple), the encodinganalog attribute is populated with the ISO 639-2 compliant three-letter language code, while the tag itself wraps around the label – e.g. if English was chosen from the drop-down menu, the EAD would look like this for the language EAD:

<langmaterial encodinganalog="3.4.3"><language langcode="eng">English</language>

The Language/script notes are a free text field. The team at Artefactual Systems, lead developers of ICA-AtoM, are currently reviewing EAD encoding for these 3 fields to ensure that data is not lost on export/import. Current proposals include:

<langmaterial><language scriptcode="" langcode=""> LANGUAGE GOES HERE </language> GENERAL NOTES GO HERE </langmaterial>

OR

<langmaterial><language> LANGUAGE GOES HERE </language><language scriptcode="">SCRIPT GOES HERE</language> GENERAL NOTES GO HERE </langmaterial>

In each case, the langcode and scriptcode attributes will be populated by ISO 639-2 and ISO 15924:2004 respectively

[edit] 3.7 DESCRIPTION CONTROL AREA

ISAD(G) ICA-AtoM Field(s) EAD (Tag Library Crosswalk) AtoM Export EAD (1.3) Comments
Description identifier     This field is adapted from the International Council on Archives' (ICA) ISDIAH: International Standard for Describing Institutions with Archival Holdings (5.6.1 - Description Identifier), and does not belong to ISAD(G), though it is given a dedicated field in AtoM. In ISDIAH, the field is is used "To identify the description of the institution with archival holdings uniquely within the context in which it will be used." As there is no clear equivalent in existing archival standards, this field's encoding is currently under review.
No ISAD(G) Equivalent Institution identifier     This field is adapted from the International Council on Archives' (ICA) ISDIAH: International Standard for Describing Archival Holdings (5.6.2 - Institution identifier), and does not belong to ISAD(G), though it is given a dedicated field in AtoM. This field's encoding is currently under review, though much of the information relating to a description in this field and the field above (description identifier) is captured in the <unitid> field in AtoM, where countrycode and repositorycode are captured in the attributes.
Rules or conventions     This field is adapted from the International Council on Archives' (ICA) ISDIAH: International Standard for Describing Institutions with Archival Holdings (5.6.3 - Sources), and does not belong to ISAD(G), though it is given a dedicated field in AtoM. In ISDIAH, the field is is used "to identify the national or international conventions or rules applied in creating the description.", including ISO language and script code standards. As there is no clear equivalent in other archival description standards or in EAD, this field's encoding is currently under review, and is not currently supported in AtoM on export/import.
No ISAD(G) Equivalent Status     This field is adapted from the International Council on Archives' (ICA) ISDIAH: International Standard for Describing Institutions with Archival Holdings (5.6.4 - Sources), and does not belong to ISAD(G), though it is given a dedicated field in AtoM. In ISDIAH, the field is is used "To indicate the drafting status of the description so that users can understand the current status of the description", with the suggested values being "finalized and/or revised or deleted." As there is no clear equivalent in other archival descriptive standards or in EAD/DC/MODS, the EAD encoding for this field is currently under review, and AtoM does not currently support export/import for the Status field.
Level of detail     This field is adapted from the International Council on Archives' (ICA) ISDIAH: International Standard for Describing Institutions with Archival Holdings (5.6.5 - Level of detail), and does not have a clear equivalent in ISAD(G), though it is given a dedicated field in AtoM. In ISDIAH, the field is used to "record whether the description consists of a minimal, partial or full level of detail in accordance with relevant international and/or national guidelines and/or rules. In the absence of national guidelines or rules, minimal descriptions are those that consist only of the three essential elements of an ISDIAH compliant description, while full descriptions are those that convey information for all relevant ISDIAH elements of description." As there is no clear equivalent in other archival standards or in EAD, this fields encoding is under review, and currently AtoM does not support the import/export of this field.
3.7.3 Date(s) of descriptions Dates of creation, revision, and deletion     This field is adapted from the International Council on Archives' (ICA) ISDIAH: International Standard for Describing Institutions with Archival Holdings, and does not belong to ISAD(G), though it is given a dedicated field in AtoM. In ISDIAH, the field is used to "Record the date the description was created and the dates of any revisions to the description." Currently the EAD encoding for this field is under review, as AtoM 1.3 does not support export for the Dates of description field, and EAD does not bear a clear tag equivalent.
Languague(s)   <langusage><language langcode="" encodinganalog="Language"> This field is adapted from the International Council on Archives' (ICA) ISDIAH: International Standard for Describing Institutions with Archival Holdings, and does not belong to ISAD(G), though it is given a dedicated field in AtoM. In ISDIAH, the field is used "to indicate the language(s) and/or script(s) used to create the description of the institution with archival holdings" (5.6.7). Currently script of material is not exporting in AtoM EAD exports, and the encoding of the field is under review.
Script(s)   <langusage><language langcode="" scriptcode="" encodinganalog="Language"> In both the Script(s) field and the Language(s) above, the relevant ISO codes (639-2 for three-letter language codes, 15924:2004 for script codes) are used to encode language/scripts codes.
No ISAD(G) Equivalent Sources     Sources is a field adapted from ISDIAH (5.6.8), a standard for describing institutions with archival holdings. AtoM includes "sources" in its ISAD(G) template, but there is no direct equivalent in ISAD(G) or most equivalent archival description standards. Currently the EAD encoding for this field is under review, as AtoM 1.3 is not supporting export for the Sources field, and EAD has no clear equivalent. The closest equivalent in ISAD(G) is in fact 3.7.1 Archivist's Note.
3.7.1 Archivist's Note Archivist's Note <processinfo> <author encodinganalog="Creator"> <processinfo> The <author> tag with the encodinganalog attribute of “Creator” is used at the highest level of description to encode ISAD Archivist’s Notes. According to the EAD Tag Library (2002), the <author> tag is defined as the “name(s) of institution(s) or individual(s) responsible for compiling the intellectual content of the finding aid. May include a brief statement indicating the nature of the responsibility, for example, archivist, collections processor, or records manager.

On all lower levels of description, the <processinfo> tag is used for specific Archivist’s notes.

3.7.2 Rules or conventions       This field is adapted from the International Council on Archives' (ICA) ISDIAH: International Standard for Describing Institutions with Archival Holdings (5.6.3 - Sources), and does not belong to ISAD(G), though it is given a dedicated field in AtoM. In ISDIAH, the field is is used "to identify the national or international conventions or rules applied in creating the description.", including ISO language and script code standards. As there is no clear equivalent in other archival description standards or in EAD, this field's encoding is currently under review, and is not currently supported in AtoM on export/import.

[edit] Current RAD Crosswalk

The preferred method of exchanging (Import/Export) RAD descriptions will be via EAD. There is a strong preference for 1:1 mapping to avoid roundtripping data loss.

RAD elements coded:

  • Bold text: include in first level of detail (summary).
  • Red text: applicable at item-level only.
  • Green text: applicable to specific media only: CM = cartographic material; AD = architectural drawings; PR = philatelic records.

NOTE ON TAG REPRESENTATION IN THE CROSSWALK: Because MediaWiki sites such as this one will not support the use of html tags within wiki pages for display unless they are wrapped in "pre" tags, certain tags used in AtoM export have been spaced differently for display purposes. This does not represent the actual state of the AtoM export.

An example: the html paragraph tag has been represented below as < p >. In the actual export, it would appear as a normal paragraph tag.
